Start with how your business actually runs
Billing software is used every day, often by staff at a busy counter. The right choice depends less on the feature list and more on whether it fits how you sell, buy and store stock. Answer these questions before you look at any product.
- Do you sell mostly B2B with GST invoices, mostly retail at a counter, or both?
- How many items do you stock, and do you track batches, expiry dates, sizes or serial numbers?
- Is stock kept in one place, or across several godowns, shops or branches?
- Do regular customers buy on credit, and do you chase payments every month?
- Do you offer different rates to retail buyers, wholesalers and dealers?
- Who will use it: you, an accountant, counter staff, salespeople on the road?
Write the answers down. They become your checklist when you compare tools, and they keep a salesperson's demo focused on what you need.
GST invoice details to check
A GST tax invoice has to carry certain details. Good software fills most of them automatically from your item and customer records, so staff don't type them on every bill. Check that the invoice format includes:
- Your business name, address and GSTIN
- A unique, consecutive invoice number for each financial year, and the invoice date
- The buyer's name and address, and the buyer's GSTIN for B2B sales
- HSN codes for goods or SAC codes for services, with a description, quantity and unit
- Taxable value after discounts, and the GST rate and amount
- The correct split: CGST and SGST within your state, IGST for sales to another state
- Place of supply, and the delivery address if it differs
- Whether tax is payable on reverse charge, where that applies
Credit notes, debit notes and delivery challans have their own requirements and should link back to the original invoice. Rules change from time to time, so treat this list as a starting point: your CA can confirm what your invoices must show.
Stock features that keep your numbers right
Billing and stock should live in the same system. Every sale should reduce stock and every purchase should add to it, the moment it is saved. If stock is updated separately, the figures drift apart within weeks.
Item details
Check that the software supports the units you use (pieces, boxes, kilograms, metres), conversion between them, and the item details your trade needs: batch and expiry for pharma and FMCG, serial numbers for electronics, size and colour for garments.
Barcode billing
For retail counters, barcode scanning speeds up billing and cuts errors from typing item names. The software should print barcode labels for items that arrive without one, and work with a standard USB or Bluetooth scanner.
Low stock alerts and stock reports
Set a minimum level for fast-moving items and get an alert when stock falls below it. Reports on slow-moving and dead stock show where cash is tied up on your shelves.
Several godowns or branches
If stock sits in more than one place, you need stock by location, not just a single total. Check that the software can:
- Show stock by godown, shop or branch, and the combined total
- Record transfers between locations, with a challan and a clear record of what moved
- Bill from a specific location, so the right stock reduces
- Restrict staff at one branch to their own location's data
Ask how transfers work when two branches are in different states, since a transfer between your own registrations can be treated as a supply under GST. Your CA can advise on the documents needed.
Credit and outstanding tracking
For many traders and distributors, the biggest daily headache is not billing but collecting. Good software turns customer ledgers into a simple list of who owes what and since when.
- Customer and supplier ledgers with due dates and ageing
- Credit limits that warn staff before billing a customer who is over the limit
- Payment reminders on WhatsApp with a UPI payment link
- Part payments and payments against specific invoices
E-invoicing and e-way bills as add-ons
E-invoicing applies to businesses above a turnover threshold set by the government, and e-way bills are needed for moving goods above a certain value. Both thresholds have changed over time, so your CA can confirm whether they apply to you.
If you need them, the software should connect to the government systems through an authorised GST Suvidha Provider (GSP). The GSP generates the IRN and signed QR code for e-invoices, and e-way bills, from your invoice data. You create the API credentials on the government portal, and the GSP may charge its own fees. If you don't need them yet, treat this as an add-on you can switch on later.
Mistakes to avoid when choosing
- Choosing on price alone, then running stock in Excel because the software can't handle batches or godowns
- Skipping user roles, so counter staff can edit or delete old invoices without a record
- No edit log showing who changed or cancelled a bill
- No offline option where counter internet is unreliable
- No clean export to Tally or your accountant's software, so entries are typed twice
- Not checking how you can export your own data if you switch later
When custom billing software makes sense
If ready-made tools don't fit your item types, locations, price lists or approval rules, we build GST billing and inventory software around your business: GST-ready invoices, purchases, barcode billing, multi-godown stock, credit tracking and reports, with e-invoicing through a GSP as an add-on.
Tell us about your items, locations and how you bill in the form below, and we'll send a fixed quote before any coding starts. For leads and sales follow-ups, see our custom CRM software.
