Where coaching centres lose time and money
Most coaching institutes grow on registers, spreadsheets and WhatsApp groups. It works with a few batches. As you add courses, faculty and branches, small gaps start costing real money.
- Enquiries that nobody follows up, so interested students join elsewhere.
- Fee instalments that slip past due dates without anyone noticing.
- Attendance kept in notebooks that parents never see.
- Tests checked by hand, with results shared days later.
- Front desk staff answering the same parent calls all day.
Moving these tasks online is less about technology and more about having one place where every student, payment and test score is recorded.
From enquiry to admission
Enquiries arrive from walk-ins, phone calls, your website, social media ads and referrals. If they live in different notebooks and phones, many go cold.
- 1Record every enquiry in one list with the source, course and contact number.
- 2Assign each enquiry to a counsellor with a follow-up date.
- 3Invite the student to a demo class or counselling session.
- 4Update the status: new, contacted, demo attended, admitted or lost, with a reason.
- 5Convert admitted students into student records without typing their details again.
Batches and timetables
A batch is the core unit of a coaching institute: a course, a timing, a faculty member and a group of students. Set it up properly and attendance, material and tests all follow from it.
- Create batches by course, timing and branch, with a seat limit.
- Assign faculty and rooms, and check for clashes before publishing the timetable.
- Move students between batches when their school timings change, keeping their fee and test history.
- Publish holiday changes and extra classes so students and parents see them immediately.
Fee instalments and reminders
Instalments make coaching affordable for many families, but they are also where institutes lose track. A clear fee plan per student fixes most of it.
Set the plan at admission
Record the total fee, any discount or scholarship, the number of instalments and each due date. Add a late fee rule if you charge one. Parents should see the same plan in the app that your office sees.
Remind before the due date, not after
Automatic WhatsApp or SMS reminders a few days before each due date, with a UPI or card payment link, are easier on staff and parents than chasing calls after the date has passed. Every payment should update the dues report and send a receipt.
If your institute is GST-registered, receipts and invoices need the correct GST details. Check the requirements with your accountant. Write your refund and batch-transfer policy down and share it at admission, since disputes usually start where the rules were never stated.
Attendance and parent updates
Faculty can mark attendance batch by batch in an app, or students can scan a QR code at the door. Either way, the record should be available the same day.
Parents care about three things: is my child attending, how are they scoring and what fees are due. An app or parent login that shows attendance, test scores, dues and notices answers those questions without a call to the front desk. An automatic alert when a student is absent lets parents act the same day.
Online tests and performance tracking
Online tests save hours of checking and give students results while the paper is still fresh in their minds. For competitive exams such as JEE, NEET or banking, they also let students practise in a format close to the real exam.
- Question bank organised by subject, chapter and difficulty, with images and equations.
- Timed tests with sections and negative marking where the real exam uses it.
- Instant results with rank lists for the batch.
- Subject and chapter analysis so faculty see who needs extra help on which topics.
- Test series scheduled across the course, visible to students in advance.
Look at each student's scores over several tests, not just the latest one. A steady drop is easier to fix early than a bad result just before the exam.
Rolling it out without chaos
Switching everything at once in the middle of a session confuses staff and parents. A phased rollout is calmer.
- 1Start with enquiries, fees and attendance, the areas that cost you most.
- 2Import current students, batches and fee balances from your spreadsheets.
- 3Train front desk staff and faculty with real examples from your institute.
- 4Introduce the parent app at a parents' meeting, and show them where to find fees and attendance.
- 5Add online tests, study material and live classes in a later phase.
Getting your coaching institute software built
We build coaching institute software with a website, a student and parent app under your institute's name, and an admin dashboard for enquiries, batches, fee instalments, attendance and online tests. If you also want to sell recorded courses to students anywhere, see our online course platform.
Cost depends on the number of branches and batches, whether you need Android and iOS apps or a web app for now, and whether online tests and live classes are in the first version. Tell us about your institute below and we'll send a fixed quote before work starts.
