AI can now translate speech in a live meeting within moments. Here is how it works, where it helps, where it still makes mistakes and what to check about privacy before you use it.

What real-time AI translation does

Real-time AI translation listens to someone speaking in one language and gives listeners the same message in another language while the meeting is still going on. Depending on the setup, the translation arrives as live captions, a translated voice, or both.

It is not the same as uploading a recording for subtitles afterwards. The whole point is that people can respond to each other in the moment, without waiting for the call to end.

Where it is useful

  • Client and vendor calls: a sales team in India speaking with a buyer who prefers another language.
  • Internal meetings: teams spread across regions where some staff are more comfortable in Hindi or a regional language than in English.
  • Training and onboarding: one trainer reaching staff who speak different languages in the same session.
  • Webinars and online events: speakers addressing an audience that does not share one language.
  • Education: lectures or parent meetings where some listeners need another language.

It is most reliable for conversations about everyday business topics with clear speakers. The further you move towards legal, medical or highly technical talk, the more care you need.

How it works, step by step

Behind the scenes, a live translation system runs a chain of steps for every sentence. Knowing the steps helps you understand where delays and mistakes come from.

  1. 1Joining the meeting: a translation participant joins the Google Meet, Teams or Zoom call, usually as a visible attendee so everyone knows it is there.
  2. 2Cleaning the audio: the sound is normalised and the system detects when someone is actually speaking, ignoring silence and background noise.
  3. 3Speech to text: a speech recognition model turns the spoken words into text in the original language.
  4. 4Translation: a translation model converts that text into the target language.
  5. 5Text to speech: a voice model reads the translation aloud back into the meeting, while captions appear on screen.

Why there is always a short delay

Each step takes a moment, and the system often needs a few words of context before it can translate a sentence properly. A small delay is normal. Good systems measure the time spent at each step so you can see where the delay comes from.

Two-way conversations

In a two-language meeting, the system needs to know which way to translate for each speaker. When an English speaker talks, listeners hear Hindi, and when a Hindi speaker replies, listeners hear English. Setting these directions correctly before the meeting avoids confusion.

Accuracy limits you should plan for

AI translation has become very usable, but it still makes mistakes, and you should set expectations with everyone in the meeting.

  • Names, brands and jargon are often misheard or translated literally.
  • Numbers and dates can be wrong, which matters for prices, quantities and deadlines.
  • Accents, fast speech and people talking over each other reduce accuracy.
  • Mixed language, such as Hinglish, can confuse speech recognition.
  • Poor microphones and noisy rooms cause more errors than anything else.

When to add human review

For contracts, medical advice, legal matters or anything where a misunderstanding has real consequences, treat AI translation as a helper, not the final word. Keep the transcript, have a bilingual person check the important parts, and confirm agreed points in writing afterwards.

Privacy questions to ask

Meeting audio can contain sensitive information about customers, staff or deals. Before you use any translation tool, find out exactly where the audio goes.

  • Is the meeting audio stored anywhere, or processed only in memory and discarded?
  • Which speech and translation providers receive the audio or text, and what are their data retention terms?
  • Who can see and download transcripts, and for how long are they kept?
  • Do participants know the meeting is being translated and transcribed?
  • Can you run the system on your own server or cloud account?

Even when the platform itself does not store audio, the AI providers that do the speech recognition and voice output process it. Read their terms and choose providers and regions that suit your obligations.

How to run your first translated meeting

  1. 1Start with an internal meeting so mistakes cost nothing.
  2. 2Set the language pair and directions for each speaker in advance.
  3. 3Share a short list of names and terms with the team so you can spot errors quickly.
  4. 4Tell participants that an AI translator is in the call and how to read the captions.
  5. 5Export the transcript afterwards and check how accurate it was on your own topics.

A translation platform you can run yourself

Our AI Real-Time Translation platform joins Google Meet, Microsoft Teams and Zoom calls through connectors, translates speech in both directions for language pairs such as English and Hindi, and speaks the translation back into the call. Live side-by-side transcripts show speaker labels, confidence scores and timestamps, and can be exported as JSON, TXT or SRT files.

Audio is processed in memory and is not written to disk by default. You choose the speech and translation providers, and the admin console tracks usage minutes, provider costs and the delay at each pipeline stage. It is delivered as source code to run on your own server. If you need a different workflow, see our custom development service, or use the form below to request a private demo or a fixed quote.

Frequently asked questions

Can AI translation replace a human interpreter?
For everyday business conversations it can cover a lot of ground. For legal, medical or high-stakes negotiations, keep a qualified interpreter or at least have a bilingual person review the transcript.
Does the translator need to join the meeting as a participant?
Usually yes. A translation participant joins the call so it can hear the audio and play the translated voice. Being visible also tells everyone that translation is running.
Which languages can be translated?
It depends on the speech recognition, translation and voice providers you connect. Check that each provider supports your languages well, especially for regional Indian languages.
Can I get a transcript after the meeting?
Most systems keep a transcript of the original speech and the translation. Our platform exports transcripts as JSON, TXT or SRT subtitle files.
