What travellers look for before they enquire
Someone planning a trip usually compares several agencies at once. They are trying to answer three questions quickly: what is included, roughly what will it cost, and can I trust this company with my money.
If your website makes them call to find out, many won't. The features below are about answering those questions on the page, then making it easy to take the next step.
Package pages that answer the obvious questions
A package page is your sales conversation in written form. Vague pages with a few photos and "contact for price" lose people to agencies that spell things out.
- Duration and route in the title, for example nights in each city.
- A starting price and its basis, such as per person on twin sharing, with the month or season it applies to.
- Inclusions and exclusions as two clear lists: hotels, meals, transfers, sightseeing, flights, visa, taxes.
- Hotel names or categories for each stop.
- Departure dates for group tours, with seats left if you track them.
- Cancellation and payment terms on the same page, not in a separate PDF.
- Real photos of the destination and, where possible, your own groups.
Day-wise itineraries
Travellers want to picture each day. A day-wise itinerary shows that you have planned the trip properly and gives them something to share with family before deciding.
For each day, list where they stay, what they see, travel time between places and which meals are included. Mention honest details such as early starts or long drives. Surprises on the trip lead to bad reviews later.
Let visitors download the itinerary as a PDF with your branding and contact details. It keeps working for you when it gets forwarded in a family WhatsApp group.
A custom trip request form that people finish
Many travellers want something slightly different from your packages. A good custom trip form lets you quote without a long first call, but only if it is short enough to complete on a phone.
- Destination, or "not sure yet"
- Travel dates or month, and number of nights
- Number of adults and children, with children's ages
- Hotel category
- Budget range per person, chosen from options
- Name and WhatsApp number
Keep everything else optional. You can ask about dietary needs, special occasions or flights once the conversation starts.
Separate forms for visas, flights and hotels
A visa question and a honeymoon enquiry need different people and different details. Separate forms route each request to the right team member and ask only what that service needs.
Online booking with part payments
An advance payment turns interest into commitment. For fixed packages and group departures, let travellers pay an advance by UPI, card or net banking, then send automatic reminders for the balance before the departure date.
Tailor-made trips work better as enquiry, quote and then a payment link once the traveller accepts. Your system should show each booking's paid amount and balance, so nobody has to check bank statements to answer a customer.
Fast follow-up on WhatsApp
Travellers often book with whoever replies first with a clear quote. Speed of follow-up matters as much as the website itself.
- Send an instant alert to your team for every new enquiry.
- Reply with an acknowledgement and a time when the quote will arrive.
- Share a branded quote with a day-wise itinerary on WhatsApp or email.
- Track each enquiry as new, quoted, follow-up or booked, so warm leads don't go cold.
- Send vouchers, hotel details and pickup times on WhatsApp before departure.
Trust signals and mistakes to avoid
Paying a travel agency means trusting it with money weeks or months before the trip. Make it easy to verify you: show your registered business name, office address with a map, GST number and any genuine registrations or memberships you hold. Link to your Google reviews and show photos from real trips.
- Packages with no price indication at all.
- Expired offers and past departure dates still showing on the site.
- Long forms that ask for everything before the first reply.
- Only a contact page, with no way to book or pay online.
- Slow pages full of large, uncompressed photos.
Getting your travel agency website built
We build travel agency websites with package pages, day-wise itineraries, custom trip requests, part payments, an enquiry pipeline and WhatsApp alerts, all managed from one admin panel. To track leads across channels, you can also pair it with our CRM software.
Cost depends on how many packages you list, whether travellers pay online and add-ons such as a sub-agent login. Tell us how your agency works in the form below and we'll send a fixed quote before work starts.
